Detaching emails from constituent records

The Deduper Detaching Process from Data Imports is very useful as it helps automate the overall process of detaching emails.

Step 1: Export data

  • Click on “Export data” to download a spreadsheet of all duplicates.
  • Use the spreadsheet to get the System record ID of a constituent.
  • Create a query including System Record ID.
  • If no emails are found, the process ends.
  • If emails are found, continue through the steps.

Step 2: Review records

  • If an email is found, click on the record.
  • Convert both emails to lowercase and compare the primary email address in the record to the spreadsheet.
  • If emails are different, the process ends.
  • If emails are the same, continue through the steps.

No sales orders found

  • If no sales orders are found, check to see if the constituent has multiple email addresses.
  • If more than one email is found, look for the non-primary email and set it as the new primary.
  • If only one email is found, remove the attached email address.
  • After the email is detached from the constituent record, the process ends.

Sales orders found

  • For sales orders found, all delivery email addresses are available.
  • Compare each delivery email address with the primary email address.
  • If the email address is the same as the primary email address, it is saved.
  • Use the Lookup of the sales order to restore data if needed.
  • If the email address is not the same as the primary email address, it is ignored.
  • All the sales orders that match the primary email address are shown.
  • Remove the delivery email address from each sales order
  • Store the lookup ID for each order as a backup.
  • Check if the constituent has more than one email address.
